Portal links and signing in

How clients get into the portal, how long links last, and what to do when one expires.

Your clients sign in to the portal with a link sent to their email. Each link is personal and works for 15 minutes. Here is how links reach them and what happens when one runs out.

The welcome email

You invite people from the client’s People tab, one person or everyone at once. Each person gets a welcome email with an Open your portal button.

The link in it works for 15 minutes. It opens any number of times in those 15 minutes, so a mail scanner checking it first does not use it up.

Reminders, weekly letters and the “Sorry we missed you” email each carry a fresh link too.

Opening a link

The link opens a page that says Opening your portal… and then shows their home page. Once in, they stay signed in on that browser for 12 hours.

When a link has expired

Send me a link

  1. They enter their email address on Open your portal.

  2. They press Send me a link.

  3. They get an email with a new link that works for 15 minutes.

The next page always says Check your email, whether or not the address is known. That keeps strangers from learning who your clients are.

A new link is only sent when all of these are true.

  • The address belongs to someone on one of your onboardings.

  • You have sent that person a portal link before, such as the welcome.

  • The onboarding is still running.

Someone on more than one of your onboardings gets one email with a link to each portal. An address can ask 3 times in 15 minutes and 10 times a day.

Your own portal domain

On Firm, your portal can live at an address of yours. Opening that address on its own shows a front door in your logo and colors.

  • I’m a client goes to the page that sends a new link.

  • I work at your company goes to your team’s sign-in.

Cancelling an onboarding closes its portal at once. Every unused link stops working and anyone signed in is signed out.
