Email templates for your clients

Change the words of each email your clients get, preview it, and send yourself a test.

You can write each client email in your own words. Go to Settings › Templates and find Email templates. Owners and admins can change them.

The emails

  • Welcome goes when you invite someone from a client’s People tab.

  • Reminder goes when someone has not booked or answered the questions, on the schedule in Settings › Workspace › Reminders.

  • Session booked, Session moved and Session cancelled go when someone books, moves or cancels.

  • Sorry we missed you goes when their engineer marks them a no show.

  • Sign-in link goes when someone asks for a new link.

  • Weekly letter and Wrap-up letter go to the client’s point of contact when you approve a letter.

Each email shows Debut’s wording or Your wording.

Change the words

  1. Click an email to open it.

  2. Edit the Subject and the Message. Blank lines make paragraphs.

  3. Use the Merge tags buttons to add details such as {first_name} or {client}.

  4. Press Save.

You change the subject and the opening message. The rest stays as Debut builds it, such as the portal button and the session time. The help line under Message says what follows your words.

The subject can be up to 200 characters and the message up to 4,000.

Preview

The preview beside the editor is the real email, for a sample person at a sample client. It changes as you type and uses your logo and colors.

Send me a test

Press Send me a test. You get what is in the boxes now, saved or not, as a client would. The subject starts with “Test ·”. Session emails come without a calendar invitation.

Go back to Debut’s wording

Press Use Debut’s wording on an email you have changed. Cancel puts the boxes back as they were and closes the email.

A single client can have its own welcome. Set it on that client’s Setup tab.
