DNS records for your portal and sending addresses

What the DNS record states mean, where the records come from and how long it takes.

On the Firm plan you can use your own address for the client portal and your own address for client email. Each one needs records at your DNS provider. Debut gives you the exact records to add.

Where the records come from

  1. Open Settings, then Branding.

  2. For the portal, enter an address such as debut.yourfirm.com in the Portal address card and choose Save.

  3. For email, enter an address such as [email protected] in the Sending address card and choose Set up this address.

  4. Each card then shows a table with Type, Name, Value and Status. Copy each name and value into a new record at your DNS provider.

The portal address records

  • A TXT record at _baselinezero.[your address]. It proves the domain is yours.

  • A TXT record at asuid.[your address]. It lets our hosting issue your certificate.

  • A CNAME record at your address. It sends visitors to your portal. Point it at the value shown, not at another name of yours.

The address needs at least two dots and no path. It cannot be your bare domain. Otherwise Debut says "That is not an address we can use."

The sending address records

  • Three CNAME records. Their names end in ._domainkey.[your domain]. They sign your mail (DKIM).

  • Debut also recommends a TXT record at _dmarc.[your domain] with the value v=DMARC1; p=none; if neither that domain nor your main domain has one.

A subdomain such as onboarding.yourfirm.com keeps your main domain's reputation apart.

What "found" and "not found yet" mean

Each row in the table has a status. found means Debut can see that record. not found yet means it cannot see it yet. When every record is found, the table folds away under DNS records.

Portal address states

  • Waiting for records. Add the records. Debut checks every five minutes, or choose Check now.

  • Verified · one record still to add. The domain is yours. Add the record marked in the table so the certificate can start.

  • Certificate on its way. The certificate is being issued, usually within a few minutes and up to twenty.

  • Verified. The certificate is set up by BaselineZero. Links switch to this address once it is in place.

  • Live. Your clients' links open your address.

  • A record went missing. A record that was found is gone. Put it back and the address keeps working.

  • Needs attention. The certificate step reported an error. Debut tries again on every check.

Sending address states

  • Waiting for the records. Until they are found, mail goes out from the BaselineZero address with your name on it.

  • Sending. Your mail comes from your own address.

  • Not found. Debut stopped looking after three days. Check the records against the table, then choose Set it up again.

After you choose Check now, the card shows "Checking DNS records…" for a moment.

How long it takes

Your DNS provider decides how fast a new record goes live. Debut checks every five minutes, and Check now checks at once. For a sending address, Debut keeps checking for up to three days. Once the portal records are found, the certificate usually takes a few minutes and at most twenty.

Messages when you save

  • "Nothing was saved. That address is already in use, or only an owner can change it."

  • "Another workspace already sends from that domain."

  • "That address is on BaselineZero’s own domain. Use one of yours."

  • "The part after the @ is not a domain mail can be sent from. Check it and try again."

  • "That could not be set up just now. Try again in a moment."

Changing or removing an address

For the portal, open Change or remove the address in the card. After Remove this address, your clients' links use your BaselineZero address again.

For email, choose Remove this domain. Your mail then goes out from the BaselineZero address again, with your name on it. To send from another domain, remove this one first, then set up the new address.

Use the copy buttons in the table. A record with a typing mistake stays at "not found yet".
