Onboarding templates

Keep the templates your plans start from, and change them without touching live plans.

Every client’s plan starts from a template. A template holds the phases, the tasks and the day each task is due.

Owners and admins keep templates in Settings › Templates.

The starter templates

A new workspace comes with three templates. Each has seven phases, from Prep to Wrap.

  • MSP takeover is for taking over from an outgoing provider.

  • IT takeover is for a company that has never had an MSP.

  • Co-managed is for working alongside an internal IT team.

Each row shows the version, such as v1, then the phases, the tasks and how many onboardings used it. The last figure is the plan’s length, such as 30d plan. Once an onboarding from it has wrapped, it shows the real average, such as 32d avg.

How a template becomes a plan

When you start an onboarding, you choose a template under Plan. Debut copies its phases and tasks into the new client. Each task’s due date is counted from the kickoff date.

The plan is a copy. Editing the template later never changes a plan already running.

Edit a template

  1. Select Edit beside the template.

  2. Select a phase or a task on the left. Its fields open on the right.

  3. Change what you need, then select Update task or Update phase.

  4. Select Save at the top when you are done.

A task has a name, its phase, Due, day of the plan, a Default owner, an escalation day count, Show on the client portal, What it involves and runbook steps. Use Move up, Move down, Duplicate and Remove to arrange tasks.

A phase has a name, What the client sees it called, a From day and To day, and two checkboxes. A phase can be removed only when it has no tasks.

To add work, type in Add a task to under a phase, or Add a phase at the bottom.

Versions

Your edits stay unsaved until you select Save. Saving makes a new version, and new onboardings start from it. Onboardings already running keep the version they started from.

Select Discard changes to go back to the saved version. A template needs at least one phase and one task to save.

The template’s name, kind and description change as soon as you select Save details. They apply to the template as a whole.

Make a new template

  1. Select New template.

  2. Enter a Name, pick a Kind and add a Description.

  3. Under Start from, choose the seven empty phases or a copy of another template.

  4. Select Make the template, add its tasks, then select Save.

To retire a template, select Edit, then Archive this template on the right. Onboardings started from it keep their plans.
